Who is responsible

Back to the T is a trading name of Tornet Solutions Ltd, a company registered in Scotland, company number SC419637, registered office 2 Dyers Drive, Linlithgow, EH49 7DF. We decide how the information described here is used, which makes us the data controller. Email support@backtothet.co.uk with any question about this notice or to exercise any of your rights.

What we hold, and why

  • Your account: name, email address, password (stored only as a one-way hash), the workspace you belong to and your role in it. Needed to give you an account at all.
  • Players you enter: the names you type for yourself and your opponent, and the shirt colour seen in the footage, so the report can say who is who.
  • Your match video, while it is analysed. Kept no longer than the rules below.
  • The analysis: where players moved, rallies, games, distances, heatmaps, and a still picture of each player taken from the footage so a reader can tell them apart. This is the product, and it is kept.
  • Your questions and answers in the chat, so you can read them again.
  • Credits and purchases: what you bought, when, and how much. We never see or hold your card details; Stripe handles payment.
  • Technical records: server logs including IP addresses, kept to keep the service working and secure.

We use this to provide the service you asked for (our contract with you), and, for security, support and fraud prevention, because we have a legitimate interest in the service working safely. We do not advertise, profile you for marketing, or sell anything to anyone.

Other people in your recording

A match recording shows your opponent as well as you. When you upload, you confirm that everyone in the recording has agreed to it being analysed, which is the basis on which we handle their part of it. If someone in a recording objects, email support@backtothet.co.uk and we will delete the match.

If anyone in a recording is under 18, the agreement has to come from whoever is responsible for them, not from you as the person filming.

How long we keep things

  • Your video: deleted as soon as its analysis succeeds. If an analysis fails we keep the video for 7 days, so we can fix the problem and run it again, then delete it.
  • The analysis: kept while you have an account, because it is what you paid for.
  • A match you delete: hidden at once and its video removed; everything else about it is erased 90 days later. Conversations opened from it go immediately.
  • Database backups: kept 14 days, so deleted data can persist that much longer in a backup before it ages out.
  • Your account: kept until you ask us to close it, then deleted.

Who can see your matches

Inside a club, the owner, admins and coaches can see the club’s matches, and a player sees only matches they uploaded or played in. Opponent names are shown to you, to whoever uploaded the match, and to the club’s staff who manage those names; everyone else sees “Opponent”. Your chat conversations are private to you and are not shown to your coach or club.

We may look at your account, including your matches and conversations, when it is needed to answer a support question or to investigate a fault. Those views are recorded.

Companies that help us run this

Each of these handles data only to do a job for us:

  • OVHcloud (London, UK) hosts the application and the database.
  • Cloudflare serves the website, stores video and analysis files in its European region, and forwards email sent to our support address.
  • Our own computer equipment in the UK runs the analysis itself: your video is downloaded to it, analysed, and the copy deleted when the job finishes.
  • Resend sends our emails, such as “your analysis is ready”.
  • Stripe takes payments and holds your card details, under its own privacy notice.
  • Anthropic provides the AI model behind the chat. Your question and the figures needed to answer it are sent to it; its terms say it may not train its models on that content.

Some of these are based outside the UK, so information may be transferred abroad. Where it is, that transfer relies on the safeguards those providers put in place, such as standard contractual clauses.

Cookies and what we store in your browser

We use no cookies on this website, no analytics and no advertising or tracking of any kind. Our public pages set nothing at all in your browser, and our fonts are served from this site rather than from another company.

Once you sign in, three things are stored in your browser’s own local storage:

  • Your sign-in token, which keeps you signed in. The app cannot work without it.
  • Player names you recently typed, so you do not have to type them again.
  • Whether you have seen the notice that says chat questions use credits, so it does not keep reappearing.

All three stay on your device, are readable only by this site, and are removed when you sign out or clear your browser data. Paying takes you to Stripe’s own checkout page, which sets its own cookies under Stripe’s notice. If we ever add analytics, we will ask for your consent first.

Your rights

You can ask for a copy of what we hold about you, ask us to correct it, ask us to delete it, ask us to restrict or object to how we use it, and ask for it in a portable form. Email support@backtothet.co.uk and we will answer within a month.

You can also complain to the Information Commissioner’s Office, the UK regulator, at ico.org.uk. We would rather you told us first, so we can put it right.
